You upload birth certificates, criminal background checks and medical records here. We know what that means, and this page sets out exactly what we do with them, in plain language and with no fine print.

What we collect
Only what we need to translate your document and give it back to you:
- Your contact details: name, email and, if you give it, phone number. They are used to reply to you and deliver the translation.
- The order details: document type, language pair, page count, turnaround, delivery format and any instructions you write.
- The document itself, if you upload it through the form.
- Your IP address and browser, at the moment of submission. They are used to limit how many requests can be sent per hour, and they form part of the record that you accepted these terms (see below).
We do not ask for social security numbers, passport numbers or card details. If they appear inside the document we are translating, they are part of the document and are handled like the rest of its content.
Your documents
This is the most sensitive part, so here is the detail:
- They are not stored in the site’s public media library. They go to a separate directory, closed to the browser, behind two independent barriers.
- They are renamed with a random identifier. The original filename — which often contains the person’s name — never appears on disk.
- They can only be downloaded through a permissions check: the web server never serves them directly.
- They are deleted 30 days after delivery. They are also removed from disk if the order is deleted.
If you would rather we deleted them sooner, tell us and we will do it the same day.
The record of acceptance
Before submitting the request you tick a box accepting this policy and the terms. We keep a record of that acceptance alongside your order: the date and time, the name and email you entered, your IP address and browser, the exact wording of the box you were shown, and a fingerprint of the contents of both policies as they stood that day.
A cryptographic seal is calculated over all of that. It serves two purposes: it lets us show what you accepted if it is ever disputed, and it lets you check that we have not altered it afterwards. We summarise the record in your confirmation email, so it does not exist only on our server.
This record is kept for as long as we may need it to answer for the order. If you ask us to delete your data, it is deleted with it.
Who sees them
The translator and reviewer assigned to your order, and nobody else. We do not sell data, we do not share it for commercial purposes and we do not use it to train systems of any kind. We would hand it to an authority only under a valid court order.
Payments
Card payments are processed by Stripe on their own platform. Your card details never pass through this site or reach our servers: we only receive confirmation that the payment completed and for how much. Stripe handles that data under its own privacy policy.
We write to you to confirm your request, tell you the translation is ready and send the download link. These are service messages for what you ordered, not marketing: there are no newsletters or promotions, and we do not pass your address to third parties.
Email is sent from our own server. We use no open-tracking services and no tracking pixels.
The verification code
Every certified translation carries a unique code. Anyone who checks it sees only that the document is genuine, the language pair, its length and the issue date. It does not show your name, your email or the contents of the document.
We record how many times a code has been checked and when it was last checked, because whoever issues a certificate needs to be able to prove it. We do not store the IP address of whoever verifies: it adds nothing to that question and would be one more personal detail to look after.
Cookies
This site sets one single cookie, called pll_language, which remembers whether you are reading in English or Spanish. There are no social media pixels and no advertising, and we load no fonts or resources from anyone else’s servers.
Measuring visits
We measure how many people visit the site and which pages they read, using Plausible installed on our own server. It is not Google Analytics or any service that resells data: your visits do not leave our infrastructure.
Plausible uses no cookies and builds no profile of you. It does not store your IP address, it cannot follow you across websites and it does not allow any individual to be identified: it only produces aggregate counts — page views, country, device type, where you arrived from. That is why this site needs no cookie banner.
Alongside visits we record four moments, always in aggregate and with no personal data: when a request is submitted, when a payment completes, when someone checks a verification code, and when a translation is collected. They tell us whether the site works; they do not tell us who you are.
How long we keep things
- Documents: 30 days from delivery.
- Order data (name, email, code, amount): for as long as we may need it to answer for the work and to meet applicable accounting obligations.
- Verification code: permanent, because its whole value is that it does not expire. The code on its own identifies nobody.
Your rights
You can ask us at any time to tell you what we hold about you, to correct it if something is wrong, or to delete it. Write to support@triexpertservice.com from the address you used for the order, or with your tracking code to hand, and we will get back to you.
If you are a resident of California, Florida or another state with its own consumer privacy legislation, those rights apply to you just the same, and we do not charge for exercising them.
Children
The service is aimed at adults. We do translate minors’ documents — birth certificates, school records — but the order is always placed by a responsible adult.
Changes
If we change this policy we will update the date below. If a change materially affected how we handle your documents, we would email anyone with an order in progress.
